Admin Assistant to Sales Team

Core Objectives:

· Provide a professional, efficient and confidential administrative service for the team e.g. heavy calendar management, organizing internal and external meetings, room bookings, travel and accommodation arrangements, handling incoming correspondence, dealing with telephone queries, organizing filing systems, typing and mailings, setting up spreadsheets, and day to day organization of the team,
· Management of the CRM system Salesforce to ensure clean data and a timely capture of meeting activity,
· Assist with the production of client materials and presentations, etc.,
· Manage the team’s cash and Visa expenses on a monthly basis,
· Responsibility for ensuring GCG Admin Support Manager is aware of team movements including vacation and absences,
· Ability to quickly learn and master new systems, process and technology,
· Collecting data, editing and proofing activities for the weekly US Activity report,
· Assist with client mailings and event coordination,
· Undertake effective representation of SLI Boston, uses knowledge and initiative to maintain and advance the team’s productivity and effectiveness, internally and externally,
· Create, maintain and enhance productive and pro-active working relationships with both internal and external customers and Edinburgh-based colleagues,
· Any other duties and responsibilities as assigned.

· Ability to proactively manage the coordination, travel arrangements, communication and materials for several meetings
· Ability to prioritize tasks in an efficient and logical manner
· Ability to excel at multitasking while keeping accurate records of all requests
· Ability to present his/herself with confidence and a calm nature in all circumstances

Core Knowledge/Experience:

· Minimum 3 years’ experience in a similar role
· Strong organizational skills required
· Experience with database management, i.e. Salesforce, and within financial services environment is preferred.
· Excellent knowledge of Microsoft software suite (Outlook, Word, Excel and PowerPoint) and the Internet
· Financial services / asset management experience preferred
