This is the new open position and we do want to start the interview process despite the fact that we’re not in the office – and not yet quite sure when we will be.   So we’ll be doing Zoom interviews.

This person will be supporting the Global Head of our Portfolio Support Group.  This is a  group that acts like management consultants to the companies in which our client has invested.  Most of the group travels a lot – they spend about 80% of their time at the portfolio companies. The Head of this group does not travel that much but is constantly in meetings.  The group is also hiring, so this person will support others on the team who’ve not yet been hired. 

We are looking for a VERY strong EA.  Years of experience are not so relevant but a go-getter attitude definitely is.   

This position would pay mid-to high 90s with 20% bonus.

Job Description

We are looking for a strong administrative professional to support a team of investment professionals, including the Head of the Portfolio Support Group. Our Portfolio Support Group provides expertise to management during the initial ownership phase of Company investments. The ideal candidate would be polished, professional, and articulate and have excellent management skills.

Primary Responsibilities

  • Maintain calendars, schedule appointments and set up meetings

  • Make extensive travel arrangements, both international as well as domestic.

  • Prepare itineraries and expense reports.

  • Answer phones, often of a confidential and/or sensitive nature

  • Coordinate with portfolio companies for supported individuals regarding meetings, information flow, etc.

  • Maintain proper flow of information with support groups (e.g., corporate services) with full knowledge of relevant interests

  • Track and maintain database of physical documents related to sector expertise as requested

  • Maintain DNA database (client contacts and consultants)

  • Creation and maintenance of information systems to support team: key information, portfolio phone lists, brochure inserts, board meeting charts, etc.

  • Prepare and /or edit presentations using PowerPoint

  • Work well and closely with the admin team in the Boston office

Skills required (in addition to general administrative skills)

  • Excellent communications skills – written and verbal

  • Computer skills (MS Word, PowerPoint, Excel, Outlook)

  • Ability to work independently and with minimal supervision in a team-oriented environment

  • Ability to maintain strict confidentiality

  • Must be able to assess situations and determine appropriate action

  • Highly organized: willing and able to assure that all physical and electronic data is properly stored and maintained

Other requirements

  • At least 6 years of experience as an Executive Assistant in a private equity, investment banking, management consulting, or other professional financial services firm

  • 4-year college degree

  • Excellent skills and experience with Word, Excel, and Powerpoint.

  • We’re looking for a self-starter who takes initiative, displays good judgment, is reliable and dependable, and likes being busy
